Event Video Production at Malaysian Convention Centres

What working inside a Malaysian convention venue actually involves, the access and vendor constraints, and how to plan around them.

Producing content for an event at a major Malaysian convention venue involves a set of constraints that have nothing to do with the creative work and that determine whether the content plays correctly. Studios encountering these for the first time usually discover them in the final week, which is the most expensive point to discover them.

The first constraint is that the venue rarely controls the screens. Most convention centres work with appointed audio visual vendors, and the technical specification, the media server, the codec preference and the loading procedure come from that vendor rather than from the venue. Identifying the AV contractor early, and dealing with them directly rather than through the event organiser, removes most of the ambiguity.

The second is access timing. Load in windows at large venues are tightly scheduled around other events, and the rehearsal slot may be the night before or the morning of, sometimes both compressed. A production plan that assumes an afternoon of unhurried testing on the actual screen is usually optimistic, and content should therefore be finished and tested on a matching setup before arriving.

The third is that the screen specification is frequently provided loosely and needs to be pinned down in writing. A dimension in metres is not a specification; the canvas is a pixel count determined by the panel arrangement. Wang et al. (2022), reviewing image quality measurement for large screen displays including LED, emphasise assessing quality from realistic audience viewing conditions, and delivering at any size other than the native canvas means the server scales, which costs sharpness that cannot be recovered.

Union of responsibilities is worth clarifying because it varies by venue. Who loads the file, who operates playback during the show, who is responsible if a file fails, and whether the studio's own operator is permitted at the desk. Some venues and vendors permit a client side operator; others do not. Knowing which applies changes how the content should be structured, because content requiring live judgement needs someone who understands it at the controls.

Filming inside these venues, as opposed to supplying content for their screens, carries its own permissions. Coverage of an event usually requires accreditation, defined positions, and agreement about where crew may go. Access to public areas outside the hired hall is often separately controlled. These are administrative rather than difficult, and they take longer than expected.

Power, rigging and internet are the practical items that catch out productions doing live capture or streaming. Venue power is chargeable and must be ordered in advance, rigging points are controlled, and venue internet is frequently the only reliable connection but must be booked as a dedicated line rather than relying on shared wireless. Ordering these in the final week attracts premium rates where it is possible at all.

The festive and exhibition calendar affects availability in a way that is specific to this market. The major convention venues are heavily booked, and the periods around large recurring exhibitions and the festive season compress everything: crew availability, vendor attention, load in windows and rehearsal time. Planning an event into one of these windows is possible and requires earlier commitment at every stage.

The deliverable discipline is the same as for any event and matters more because the technical chain is longer. Exact canvas dimensions, the codec the vendor specifies, consistent file naming that sorts in running order, a test file sent days ahead, and a fallback in a widely compatible format. Low et al. (2020), working on audience tracking for digital signage, demonstrate that audience side performance is measurable rather than assumed, and the equivalent discipline for event content is to verify on the actual system rather than trusting the specification.

The single most useful practice is a short technical call between the studio and the AV vendor at the start of the project rather than at the end. Ten minutes establishing the canvas, the codec, the frame rate, the audio arrangement and the delivery deadline removes nearly every category of failure that occurs on the night, and it costs nothing but a diary entry.
