How to make software understandable on screen, why the interface is not the story, and the asset set a technology company actually needs.

Software is difficult to film because there is nothing to film. The product is an interface, a workflow and an outcome, and a recording of someone using it is dense, small and dull. Technology companies therefore produce a great deal of video that is technically accurate and almost unwatched, and the problem is structural rather than a matter of production quality.

The correction is to treat the outcome as the subject and the interface as evidence. What the viewer wants is not the software but what changes because of it: the report that took three days and now takes an hour, the errors that stopped occurring, the process that no longer requires three people. Making that concrete, with specifics rather than adjectives, is the work.

The structure that follows spends most of its time outside the product. Establish the situation before, specifically enough that the viewer recognises their own operation in it. Show what changes. Then show the interface, briefly, as the mechanism by which the change happens. A film that spends forty of its sixty seconds on the problem and the result, and twenty on the software, consistently outperforms the reverse.

Screen material requires design rather than capture. Real interfaces are dense and full of irrelevant detail, and a raw recording asks the viewer to find the relevant part unaided. The workable treatment crops to the region that matters, scales it up, removes or blurs what is not being discussed, and animates the sequence at a pace a viewer can follow rather than at the speed a user would click.

The cognitive constraint is the binding one and it is well documented. Beege and Ploetzner (2025), studying learning from interactive video, examined how design and cognitive load influence what viewers take from video material, and Ludwig et al. (2026) found that instructional design and cognitive load affect knowledge acquisition and problem solving. A screen sequence presenting six capabilities at once exceeds what a viewer can process, and the information is lost rather than merely diluted.

The asset set a technology company needs is broader than a hero film and mostly short. An overview for the website, a set of feature specific pieces for the product pages, a technical demonstration for evaluators, onboarding content for new customers, a forwardable explainer for the champion inside a prospect organisation, and short pieces for social. These serve different moments and cannot be served by one film.

The forwardable piece deserves particular attention because it does work nobody sees. In considered software purchases the person evaluating must persuade colleagues who never speak to the vendor. Sarasvuo et al. (2023) found that buyer perceptions of fit and attractiveness shape how corporate offerings are evaluated in B2B services, and much of that evaluation happens internally, carried by whatever the champion can forward.

Onboarding and training content is where technology video produces its most measurable return and is usually the last thing commissioned. It reduces support load, improves activation and shapes whether a customer renews. The design should follow instructional rather than marketing principles: short modules, one objective each, demonstration over explanation, and a check at the end.

Maintenance is the constraint that shapes the whole approach, because software changes constantly. A comprehensive film showing the current interface is obsolete within two release cycles. Building short, single purpose pieces, keeping the interface material isolated from the durable material about the problem and the outcome, means an update requires remaking ninety seconds rather than the library.

The production method division is clear in this category. The interface is captured and designed, the outcome and the situation can be filmed or generated, and abstract explanatory sequences suit motion graphics. Kirk and Givi (2025) found that perceptions of authenticity shape consumer responses to AI generated marketing communications, which matters at one specific point: a film showing an interface the product does not actually have is the software equivalent of showing a product colour that will not ship, and it will be discovered during the trial.
